Overview
Rates are net and include all applicable taxes and daily breakfast.
Please note that room rates offered on travel agent websites and the hotel’s own website do not include local taxes, service charge or breakfast.
The hotel levies an additional charge for baggage handling / room deliveries at 3 € per room / delivery. You will be expected to pay directly to the hotel for this service if used.
Please note that complimentary transportation is NOT provided for this conference and that you will be responsible for your own travel arrangements and costs between the airport and your hotel.
CHECK-IN / CHECK-OUT POLICY
Normal Check-In time is 15:00 hrs (early check-in as per hotel’s availability)
Normal Check-Out time is 12:00 hrs (noon)
Supplement for Check-out after 12.00 hrs (noon) is 12 € per room / hour. You will need to pay directly to the hotel at their counter rates upon checking-out.
This supplement will be applied for maximum of 4 hours and is subject to availability.
Payment Policy
Due to June being a peak month in Barcelona WCA Family must guarantee all rooms and make full payment to Fira Palace Hotel well in advance. This same requirement applies to travel agent websites, as well as the hotel’s own website for all bookings during the month of June. As a result of this, we will be collecting full pre-payment from you for all room reservations.
Your booking will be considered as tentative until full payment for your
accommodation (all nights) is received by WCA Family.
We kindly request that you settle your invoices as promptly as possible in order to ensure that your accommodations are secured before you arrive.
CANCELLATION POLICY
As mentioned above, June is a peak month for events in Barcelona and that there is a major congress happening. As a result, hotels will be extremely strict regarding cancellations, no-shows, late check-ins and early check-outs.

No Show
If you fail to check-in at the hotel and you have not cancelled or amended your booking with the conference organizer then the hotel will impose a “no show” charge equal to the full period booked.
Early Check-Out
If you unexpectedly wish to check out earlier than the period booked and do not inform the event organizers more than 7 days in advance then the hotel will still charge based on the full period originally booked.
Late Check-In
If you fail to check-in on the 1st night booked then the hotel will still charge according to the full period originally booked.
For any of the above, the conference organizers will do their utmost to negotiate with the hotel to keep your charges as low as possible, but this depends on the hotel’s occupancy at the time and the event organizers cannot guarantee that they will always be successful in negotiating with the hotels for a decrease in charges on your behalf.
