Exhibition Booth Space

There is space for a total of 45 exhibition booths.  Exhibition booths are already in high demand as shown by the amount of interest already received prior to this conference website being open so please make sure to reserve your booth well in advance.  Booth reservations will be on a first come, first served basis, and exhibition booths are expected to sell out very quickly.

Your one free pass is applicable for one person to attend the WCA Conference only.

**  Booth Setup / Booth Removal (Important).  

  1. WCA Family staff will be responsible for setting up, dismantling and removing all exhibition booths provided by WCA Family only.  Parties bringing their own booths will be responsible for setting up, dismantling and removing them within the allotted times unless prior arrangements have been made with WCA Family. 
  1. Those using Basic or Advanced booth options will be responsible for putting up and taking down their own booth artwork unless prior arrangements have been made with WCA Family.  
  1. WCA Family will not be responsible for collecting or storing any booth artwork, or any promotional materials left behind during dismantling unless prior arrangements have been made with WCA Family.


Note: *In case your company is both a sponsor and has an exhibition booth, you will only receive one advertisement (the better of the two). For example, we will only give you one full page color advertisement even though you are both a sponsor and have a booth.

Your two free passes can be utilized in one of the following ways:
  • 2 free passes to attend the WCA Conference only, or
  • 2 free passes to attend the WCA Family Conference, or
  • 1 free pass for one person to attend the WCA Conference + 1 free pass for one person to attend the WCA Family Conference

Number of Panels – For booths which are located in between other booths, exhibitors will automatically be provided with a 7 panel booth. For end booths or stand alone booths, exhibitors have a choice among 3, 5  or 7 panels.

Basic Booth Package : standard white panels, one table, four chairs, one power socket, and one trash bin are provided. No logo will be provided on the headboard or table front.

Advanced Booth Package : standard white panels, one table, four chairs, one power socket, and one trash bin are provided. Our graphics department will assist you with artwork development for your booth, however you will be required to have the artwork printed on your own arrangements, delivered to the exhibition area and put on the exhibition booth by yourself.

Optimum Booth Package : standard white panels, one table, four chairs, one power socket, and one trash bin are provided. Our graphics department can assist you with artwork development for your booth, or you can simply send your own artwork to us. We look after all the printing and installation of your booth artwork.

Deadlines

Booth reservations – Monday, 7th December 2009. Note that all booth reservations will be received on a first come, first served basis.

Booth Artwork – Monday, 14th December 2009. We cannot guarantee that we will have enough time to print your artwork after this date because all booth artwork is printed by batch process.

Payment Monday, 7th December 2009. Unless you have alternative arrangements with WCA Family, we reserve the right to offer your booth to other exhibitors should you refuse to pay for your booth according to this payment deadline.

Cancellation of Exhibition Space Contract

A request for cancellation of an exhibitor’s space contract must be made in writing to WCA Family of Logistic Networks, Ltd., no later than Monday, 7th December 2009. All exhibition booth payments include a non-refundable US$ 100.00 processing fee. Cancellation and refund requests received after Monday, 7th December 2009 will not be considered unless and until such space has been resold. Space not fully paid for by Monday, 7th December 2009 is subject to cancellation or reassignment at the discretion of WCA Family of Logistic Networks, Ltd., without obligation for refund of any monies previously paid by the exhibitor. Should any rented space remain unoccupied on the opening day, or any time thereafter, WCA Family of Logistic Networks, Ltd. reserves the right to rent such space to any other applicant, and no refund shall be made to the original renter.

Contract Conditions, Rules & Regulations for Exhibitors

1. Assignment of Exhibition Space will be on a first come first served basis.

2. Shipping (applicable to exhibitors bringing their own booths). Unless other arrangements have been made with WCA Family, Exhibitors shall take care of the shipping of their materials, ground handling, reception, unpacking and storing of the goods as well as of the removal of the materials after the exhibition. The exhibitor is responsible for the installation and dismantling of his own stand walls and other decoration materials.
The cost of transporting your booth to the meeting venue is not the responsibility of the conference organizers or the exhibition centre. Assistance in the design and manufacture of a display booth is available for an additional fee.

3. Setup of Exhibits (applicable to exhibitors taking the Basic and Advanced booth options, or bringing their own booths). The exhibition area will be open for exhibitors to begin setting up at 10:00 hrs on Sunday, 10th January 2010. Exhibitors must complete setup by 17:00 hrs on the same day. The exhibition area will be opened for conference attendees for the first time on Monday, 11th January 2010 after the plenary session.

4. Removal of Exhibits (applicable to exhibitors taking the Basic and Advanced booth options, or bringing their own booths). Exhibits must not be disturbed, dismantled or removed before 17:00 hrs on Wednesday, 13th January 2010. However, all exhibits must be removed by 19:00 hrs on the same day. For Exhibits not removed by that time, conference organizers will remove exhibits and charge expenses to the exhibitor.

5. Insurance and liability : Exhibitors assume the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to Exhibitors displays, equipment or other property brought upon the premises of  Plaza Athenee Bangkok, A Royal Meridien Hotel and agrees to indemnify, save and hold harmless The 12th Annual WCA Worldwide Conference 2010. WCA Family of Logistic Networks, Ltd., its operator, and each of their respective parents, subsidiaries, affiliates, representatives, owners, officers, directors, servants, agents and employees against all claims or expenses for such losses, including any liability caused by the sole gross negligence of The 12th Annual WCA Worldwide Conference 2010, WCA Family of Logistic Networks, Ltd.
WCA Family of Logistic Networks, Ltd. and the Exhibitor understand that neither The 12th Annual WCA Worldwide Conference 2010, WCA Family of Logistic Networks, Ltd., nor Plaza Athenee Bangkok, A Royal Meridien Hotel maintains insurance covering the Exhibitor's property or lost revenue, and it is the sole responsibility of the Exhibitor to obtain such insurance. The Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibition premises, policies of Comprehensive General Liability Insurance and Contractual Liability Insurance, insuring and specifically referring to the Contractual liability set forth in this Contract, in an amount not less than US$ 1,000,000.00 Combined Single Limit for personal injury and property damage.

The 12th Annual WCA Worldwide Conference, WCA Family of Logistic Networks, Ltd. Plaza Athenee Bangkok, A Royal Meridien Hotel, its owners, and its operator, shall be included in such policies as additional named insured. A copy of the Insurance Certificate must be submitted to WCA Family of Logistic Networks, Ltd. prior to opening day.
